Who is responsible

The partnership trades solely as Benbow Risk Management. The partnership is responsible for the use of personal information described in this notice. For general enquiries and data-protection matters, contact admin@benbow-rm.co.uk. The website enquiry form also accepts privacy requests.

Information collected

The enquiry form asks for your name, email address, service of interest and message. Provide only the information needed for an initial response. Do not submit medical records, identity documents, information about alleged offences or sensitive operational details. The website is not an emergency service.

Our hosting and email providers may also process technical information such as IP addresses, request times, security events and email-delivery records. The form does not upload attachments or save enquiries to a separate website database.

Why information is used

We use enquiry information to respond, assess your requirements and prepare a proposal where requested. Where you ask us to take steps towards a contract with you, the proposed basis is Article 6(1)(b). For general and business enquiries, the proposed basis is legitimate interests under Article 6(1)(f): responding to communications and managing business relationships. Use of that basis requires an appropriate balancing assessment.

Security-related technical processing supports the legitimate interests of protecting the website and preventing misuse. Sending an enquiry does not subscribe you to marketing. We do not make automated decisions about service eligibility through this form.

Service providers

Website hosting is provided through ChatGPT Sites and its hosting infrastructure, including Cloudflare. Resend processes enquiry messages for delivery to our business mailbox, hosted by Titan. Access within Benbow should be limited to personnel who need it to manage your enquiry. We do not sell enquiry information.

Provider contracts, processing locations and any applicable safeguards for international transfers remain under review. Processing is not necessarily limited to the UK.

Retention

For enquiries that do not result in a booking, we delete the enquiry correspondence 12 months after the last meaningful contact. If information is needed for a legal obligation or an actual or reasonably anticipated dispute, we retain the relevant information for that purpose and review the need to keep it. Enquiries that become bookings form part of our client records and are handled under a separate retention policy. Email providers may retain delivery and security records under their service terms.

Your rights

Depending on the circumstances, you may request access, correction, deletion, restriction of use or a portable copy of your information. These rights are subject to the relevant conditions and exceptions.

Right to object: you may object to processing based on legitimate interests. Contact admin@benbow-rm.co.uk or use the enquiry form and select “Privacy request”. We may need proportionate information to confirm your identity.

You can also raise a concern with the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.

Cookies and tracking

This design does not add advertising cookies, analytics tools or email open/click tracking. The hosting platform may use essential security and authentication technologies.
